Privacy Policy for Riders Emergency Info LLC (Scan ID 365)

Riders Emergency Info LLC (“we,” “us,” or “our”) is committed to protecting the privacy of our users and maintaining transparency in how we collect, use, and secure personal information. This Privacy Policy applies to users of the Scan ID 365 app and website. By using our services, you agree to the terms outlined below.

1. Information We Collect

Personal Information: When creating an account, we collect personal details such as:

  • Required: Name, email, and phone.

  • Optional Fields: Height, Weight, Class, Picture (if uploaded), Date of Birth, and “Notes to EMS.” Users can choose which optional fields to display to emergency responders.

Usage and Logging Data: We collect data on app interactions, including user activity and emergency access logs. This data is used to improve app functionality and provide users with visibility into when and how their profiles are accessed.

Data Changes: We may add or remove fields over time to better serve our users’ needs.

2. How We Use Your Information

Emergency Profile Access: Your profile information is displayed to authorized users (e.g., first responders) who access your Rider ID through the ScanIfHurt.com site. Riders Emergency Info LLC cannot monitor or guarantee that all access is appropriate, as access is provided directly to first responders or others with your Rider ID.

User Communication: We use your contact details to communicate important updates, account information, and relevant app notifications.

Improving App Performance: Collected usage and logging data help us understand how the app is used and identify areas for improvement. We may use analytics tools such as Google Analytics to evaluate app performance.

Payment Processing: We use Stripe and Firebase for secure payment processing and data storage.

3. Data Sharing and Third Parties

  • Third-Party Providers: We share data with trusted service providers such as Firebase (for secure data storage) and Stripe (for payment processing). These providers have access to necessary personal data to perform their services but are restricted from using it for any other purpose.

  • Emergency Profile Access: When someone accesses your profile via your Rider ID, your information is displayed to them. We make this access available as part of the app’s core purpose; however, we do not control the use of information by those who access it.

  • Legal Requirements: We may disclose your information if required by law or in response to valid legal requests, such as subpoenas or court orders.

4. Data Security and Retention

  • Data Security: We use the default encryption provided by Firebase to secure personal data. While we aim to enhance security further, additional encryption options are currently limited due to technical constraints.

  • Data Retention: User data is retained as long as an account is active. When an account is deleted, we permanently delete all user-configured data. We retain minimal information—name, email, phone number, and deletion date—for potential future contact or verification, if needed.

5. User Rights and Data Control

  • Access, Update, and Delete: Users can access, update, or delete their information directly through the app or website.

  • Visibility Control: Optional fields (e.g., height, weight, etc.) are visible to emergency responders only if configured by the user. Users may change the visibility of each field at any time.

  • Account Deletion: When users delete their account, their data is removed permanently, with the exception of minimal contact information as stated above.

6. Cookies and Tracking Technologies

  • We use cookies and similar tracking technologies to collect information on user activity, improve app performance, and conduct analytics. Cookies and tracking may include but are not limited to session cookies, persistent cookies, and tracking pixels. These tools help us understand user behavior and improve our services.

7. International Compliance

While our app currently serves U.S. users, we are committed to complying with data protection laws applicable to international users, including the General Data Protection Regulation (GDPR) for European Union residents and the California Consumer Privacy Act (CCPA) for California residents, should we expand into these areas.

Your Rights (for EU and California Users): If our services are offered internationally, users in applicable regions may have rights to request access, correction, deletion, or restriction of their personal data under GDPR or CCPA regulations.

8. Changes to this Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our practices, legal requirements, or other operational needs. We will notify users of significant changes through our app, website, or email. Continued use of the app constitutes acceptance of any updated terms.
